Overview
This article defines all roles available to Church Leaders and Responders within the CarePortal platform. Each role carries specific permissions and responsibilities that help your Church operate effectively and serve families with clarity and accountability!
Intended audience
Included in this article
Primary Point Person (PPP)
Only one person per Church may hold the Primary Point Person role.
The Primary Point Person has master administrative access to all Church settings and preferences. This person serves as the primary contact for Network Leaders and receives updates and communications regarding their Church.
Responsibilities include:
Receiving request notifications relevant to all Response Teams
Responding to local requests
Being copied on responses from approved Church members
Receiving Engage My Community messages triggered by other Churches
Serving as the default Team Leader for the initial Response Team
To update or change a Church’s Primary Point Person, a Network Leader must assist to ensure proper training and transition.
Users with this role can request a CarePortal Card via the Church Settings page and must agree to the CarePortal Cardholder Agreement.
Connecting Church Leader (CCL)
Multiple individuals may hold this role.
Connecting Church Leaders:
Do not receive initial request notifications like Primary Point People and Team Leaders
Can respond to requests from their Dashboard
Can engage their Church’s Response Team
Can Take the Lead on requests
Can Engage the Community
For Connecting Churches, both Connecting Church Leaders and the Primary Point Person are notified when a Community Responder chooses to Provide or Fund a request within the Church’s Response Team Radius.
Once a leader Takes the Lead, they can connect with the Community Responder, and CarePortal shares contact information accordingly.
Note: Connecting Churches are now required to have an active CarePortal Card.
Users with this role can request a CarePortal Card via the Church Settings page and must agree to the CarePortal Cardholder Agreement.
Church-Vetted Requests Leader (CVRL)
This role is required only if Church-Vetted Requests are enabled in your Church Settings.
Multiple individuals may hold this role.
Church-Vetted Requests Leaders:
Enter Church-Vetted Requests from their Dashboard
Approve requests submitted by other Church Leaders or Team Leaders
Control when Church-Vetted Requests are released to the Response Team
Requests are not sent to the Response Team until approved by a Church-Vetted Requests Leader.
Users with this role can request a CarePortal Card via the Church Settings page and must agree to the CarePortal Cardholder Agreement.
Pastor
Multiple Church Leaders may hold the Pastor role.
Pastors:
Have the same dashboard access as a Primary Point Person
Cannot edit the Church Settings page
Do not receive request notifications
Receive emails designed to help equip their Church for ministry
Team Leader
Each Response Team may have multiple Team Leaders.
Team Leaders:
Manage their assigned Response Team
Upload and manage responders
Engage their team on open requests
Submit Church-Vetted Requests (if enabled)
Primary Point People and other Church Leaders can support Team Leaders and manage Response Teams as needed.
Tip: The Team Leader role is the only role besides the Primary Point Person that automatically receives new request notifications, regardless of the Response Team’s Auto-Engage setting. This role can be combined with other roles (including Pastor) if someone needs to receive these notifications.
Church Responder
Each Church may add unlimited responders to one or more Response Teams.
Responders can:
Pray
Follow
Provide
Fund
Their permissions depend on responder type.
This is the default Responder Type, unless edited within Response Team Settings.
Resource Responders:
Provide or Fund items
Do not connect directly with families
Have Provided responses reviewed by a Team Leader before appearing in the Activity Feed
This role lowers the barrier to entry for volunteers.
Assigned manually by Church Leaders or Team Leaders.
Relational Responders:
Can connect directly with the request submitter and family
- May not require approval for Provided responses unless Manually Approve All Provided Responses is enabled within Response Team Settings
Should complete any training or screening required by your Church
Best Practice: To learn more about managing your Response Team(s), review the Core Church Training Module videos available in your Church Dashboard.

How do I change our church's address? We've recently moved into a new facility. -- Pastor Jack Hunt
Hey Pastor Jack!
Your church's Primary Point Person can update the church address within the settings tab in their dashboard.
Do Team Leaders get cc'd when another Team Leader on the same team responds to a request or just when a response team member on their team responds?
Claire, yes! When a Team Leader responds to a request, the other Team Leaders for that team are cc'd on the thank you for responding email.
How do you delete the current point person?
Hi Shelly! That process has its own Help Center Article, which you can find here. Hope you find it helpful!
