CarePortal is designed for collaboration. No single Church is meant to meet every need alone. When Churches work together, families get served faster, everyone shares the load, and relationships grow stronger.
This article explains how Church collaboration works in CarePortal and shares best practices that help you coordinate well, reduce confusion, and keep the focus where it belongs: on children and families. Here's how it works.

How Church collaboration works in CarePortal
When a request is posted, multiple local Church Response Teams may be notified. CarePortal provides tools that help Churches communicate and coordinate so responses happen together — not in isolation.
Collaboration can look different from one request to the next. Sometimes one Church leads the response. Other times, several Churches support in different ways. Both approaches matter. The shared goal is always the same: serving the family well.
The guiding principle: one Point of Care
Whenever possible, one Church should serve as the Point of Care for a request.
That Church:
- Communicates directly with the Agency Worker
- Coordinates delivery or connection with the family
- Organizes support from other Churches
This approach helps reduce confusion and provides families and Agency Workers with a single Church partner to work with.
A simple coordination flow (what to do first)
After responding to a request, take a moment to coordinate with other Churches.
- Review which Churches have already responded.
- Use the Network section to connect with them.
- Confirm who is serving — or will serve — at the Point of Care.
This short pause helps everyone stay aligned and focused on the family.
When a Lead Church is not set yet
There may be times when a Lead Church has not been formally established — especially when multiple Churches are Funding or Providing items. You will only see the option to Take the Lead when community resources have been contributed (either by a Community Champion/Responder or a Church that is outside of the Request Radius).
In these situations, Churches should connect with one another using the Network section and determine who will serve at the Point of Care and connect with the family.
Using the Network section on a request
The Network section on the Request Details page is the primary way to coordinate with other Churches responding to the same request.
From the Network section, you can:
- See which Churches were notified
- Identify Churches that have already responded
- Contact another Church Response Team connected to that request
To reach out:
- Open the request.
- Scroll to the Network section.
- Select
Contactnext to a Church Response Team.
Your message, along with your contact information, is sent by email to that Church's Primary Point Person and Response Team Leader(s).
Tip: This is the most direct and recommended way to coordinate when multiple Churches are responding to the same request.
Ways Churches support a response together
Churches can support a CarePortal request in different ways. Each role matters, and each approach helps meet needs in a meaningful way.
Providing items
When you select Provide, your Church commits to purchasing or supplying specific items listed in the request.
If other Churches have already responded, you can:
- Use the Network section to see who is involved
- Reach out to confirm who is serving as the Point of Care
- Coordinate delivery with the Lead Church when possible
Providing works best when items flow through one Church that is coordinating the overall response.
Managing community responses
When Community Responders or Champions commit to Provide items on a request your Church is the Lead Church for, you can manage those commitments directly in your Dashboard.
To view details, open the request page and select the Manage Community Responses button. There, you will see:
- Who has committed
- What items they have committed to Provide
- Their contact information
If something changes, a Primary Point Person or Connecting Church Leader can remove a commitment and reopen the item so others can respond. Regional Managers have this ability as well.
Funding a request
When you select Fund, you give financially through CarePortal. Connecting Churches are notified when monetary donations become available and can claim them to fulfill the request.
Funding works well when:
- Another Church is better positioned to deliver
- You want to support without managing logistics
- Multiple Churches are pooling resources

Take the Lead
When a Connecting Church selects Take the Lead, that Church becomes the main point of contact for the request. We encourage the Lead Church to collaborate with other Churches that have contributed to the request using the Network section of the Request Details page.
The Lead Church:
- Communicates directly with the Agency Worker
- Coordinates delivery or connection with the family
Engage My Community
After your Church selects Take the Lead, the Engage My Community feature allows Church Leaders to send a message to other Churches, Community Responders, and Champions. This invites others to help meet any remaining needs.
As the Lead Church, you will be notified when:
- Community Responders or Champions commit to Provide items
- A financial donation is made toward the request
The Engage My Community option will not be available if:
- Another Church has already used Take the Lead, or
- No remaining needs exist
Tip: Only Church Leaders can see the Engage My Community button when logged in directly. Agency Workers are not notified when you engage the community.
Collaboration beyond a single request
Church collaboration often extends beyond one request. Many Churches build ongoing rhythms of communication that make coordination easier over time.
Common collaboration pathways include:
- Active Community Gatherings
- Working through your Network Leader
- Existing relationships between local Church Leaders
These connections build trust and make in-platform coordination smoother and more effective.
Best practices for strong Church collaboration
Healthy collaboration is built on trust, clarity, and humility.
Lead with communication
- Check which Churches have already responded
- Use the Network section before contacting the Agency Worker
- Confirm who is serving as the Lead Church or Point of Care
- Coordinate how the Provided items will be delivered to the Church
Stay focused on the family
- Collaboration exists to serve families, not credit
- Simplicity helps families feel safe and respected
- One clear point of contact builds trust
Be flexible
- Each request is different
- Be willing to step back or step in as needed
- Support the Lead Church when another Church is best positioned
Invite your Network Leader when needed
Your Network Leader can:
- Help identify a Lead Church
- Support coordination when roles are unclear
- Encourage healthy communication across the network
If collaboration feels unclear, reaching out to your Network Leader is a great next step.

Yes. Church Leaders can use theContactbutton in the Network section on the Request Details page to connect with other Churches responding to the same request.

Can Churches contact the Requesting Agency directly?
Yes, based on your Response Team settings and your role on the request. The goal is always clear: respectful communication that serves the family well.

Will the email tell us where to deliver items?
No. The email shares contact information so delivery details can be coordinated directly between your Church and the Agency Worker or Lead Church.

Your Network Leader is always available to help facilitate communication and resolve coordination challenges. Don't hesitate to reach out for support.
