Requesting Agency, New Worker Approval Process
I would like to see a new setting available to Requesting Agencies giving them the options for allowing new Workers. My initial thought is that it would work similar to a church's New Member Approval Process. I believe it is too easy for a worker to make an account without receiving training.
In our area where you have a statewide agency, we have had workers take the training, then encourage their peers to go to CarePortal.org to create their own account. Since these peers have the agency email domain, they are given direct access to make an account without needing training. This has resulted in the posting of confidential information, a lack of knowledge of the response process, and the posting of poor quality requests all of which negatively effects church engagement.
By adding New Member Approval Options, you allow each Agency Rep, Admin, Area Director, or Regional Manager the opportunity to choose whether or not they want to protect the process of adding New Workers. Of the three options we provide to churches, I would most like to see "Workers validate by entering a custom code." The way I see this working is at the very end of a training, the worker would be given the custom code and directed to CarePortal.org to create their account.
Who: Agency Rep, Agency Admin, Regional Manager, and Area Director
What: A setting for each agency for a New Worker Approval Process
Why: To prevent workers who have not been trained from creating poor quality requests which significantly impacts network health and church engagement.

Absolutely agree with the need to improve the set up of agency worker accounts.
Also, agency worker accounts being created randomly and on their own doesn't allow for Requesting Agencies, AD's, nor RM's to keep track of who has attended training, has approval to use the CarePortal platform, and who is actually using the CarePortal platform. I think it would be helpful to both the Requesting Agency and CP Field team to see a list of the accounts that have been created for that agency. (Especially for larger state-wide agencies.) -
I would support this feature add. I have also received several calls from case workers in this scenario who are trying to submit a request.
Having the notification, as you outline, of a new agency worker wanting to submit a request will allow either the agency or the CarePortal team to conduct the training, sign the worker into the system, and issue their credentials.

I cannot tell you how very helpful this would be! I could tell you stories for days but most recently I had an untrained worker request something for a home where both parents had aggravated assault charges, it led to an unsafe environment for my church responders. Having untrained workers use the system again and again can lead to so many people losing their trust of the CarePortal system.

I completely agree. This would help protect the trust between the agency, church and community partners, leading to a more favorable user experience for everyone, particularly with ecosystems that have larger state-wide child welfare agencies like TX-CPS. Thank you for your time and consideration. 🧡
