Overview
As you step into a centralized network role, CarePortal generates a high volume of automated emails. Each of these emails contains a hidden code in its body that sorts it into one of four categories. By setting up a few simple inbox rules, you can automatically filter these emails into dedicated folders and keep your inbox free for your day-to-day work.

Step 1: Create folders
In the email account where your CarePortal system emails are sent, create four new folders. In most email clients, you can do this by right-clicking in your folder list and choosing New Folder. In Gmail, folders are called Labels. Just as with creating new folders, if you're not sure how to do this in your email platform, search online for "Create new folder in [your email platform]" for instructions.
Create the following folders:
- New Requests
- Church Responses
- Closed Requests
- New Enrollments
Step 2: Set up inbox rules
Depending on your email platform, inbox rules are set up in different ways. Search online for "Inbox rules in [your email platform]" for platform-specific instructions. In Microsoft Outlook, right-click any email, go to Rules, and select Create Rule. If Rules isn't visible, look for Advanced Options.
Using your platform's instructions, create these four rules:
- When NewReq@CP is found in the body of the email, move it to the New Requests folder
- When ReqRes@CP is found in the body of the email, move it to the Church Responses folder
- When ClosedReq@CP is found in the body of the email, move it to the Closed Requests folder
- When NewEnroll@CP is found in the body of the email, move it to the New Enrollments folder
Tip: If you've been using a separate email address for your Ambassador, Regional Manager, or Area Director role to avoid the high volume of automated emails, these four folders and rules give you the all clear to forward CarePortal emails directly to your work inbox.
